What a Drop Room is
A normal share link is a one-way street: you upload, they download. An upload link such as an Upload Inbox is the opposite street. A Drop Room is a meeting place. Everyone with the link — and the password, if you set one — lands on the same page, where they can drop files in, take files out, leave a short message and see what everyone else has done.
The defining feature is the deadline. When you create a room you choose how long it exists. When that time arrives the public link closes and the files are deleted from storage, not merely hidden. You can also destroy the room yourself at any moment. The result is a workspace that cleans up after itself, so sensitive material does not sit online for months after the project is over.
Nobody who visits needs an account. They open the link, optionally say who they are, and start working.
When to use a Drop Room
Project handoffs
Give a client the finished files, collect their feedback and assets in return, and close the whole thing on delivery day.
Photo and video delivery
Share a gallery with a family or a wedding party and let them add their own pictures for a limited time. See photo and video hosting.
Document collection
Gather passports, certificates or signed forms for a process with a clear end date, such as a visa, a mortgage or an audit.
Events and conferences
One room for speakers to upload slides and for attendees to download materials afterwards.
Negotiations and due diligence
A temporary data room where each side drops documents, with an activity feed that shows who opened what.
Team hand-overs
Pass a large set of working files to a contractor and have it all disappear when the contract ends.
What is inside a room
- Two-way transfer: visitors can upload files, download files, or both. You can switch uploads or downloads off in the settings.
- A password: protect the room with a password so only invited people get in.
- Visitor names: ask each visitor to give a name once per visit, so the activity feed shows people, not anonymous addresses.
- Folders: sort files into folders inside the room, and move files between them.
- Your own files: attach files you already have in your account, or upload new ones directly into the room.
- A live activity feed: who uploaded, viewed, downloaded, signed or left a message — visible to everyone in the room, as a shared, trusted record.
- Messages: short notes in the feed, for quick coordination without a separate chat.
- Electronic signature (from the Access plan): ask visitors to confirm they have read and agree to a document before they continue. The name, email, IP address and time are recorded as evidence of the click-to-sign action.
Deadlines, limits and what “deleted” means
The deadline is mandatory, because the point of a room is that it ends. How long a room can last and how many files it can hold depend on your plan: on the Free plan you can run one active room with up to 10 files and a deadline of up to 3 days. Paid plans raise the number of rooms, the files per room and the maximum duration — up to 90 days on the highest plan. See the plans page for the current numbers.
A scheduled job runs every hour and purges expired rooms. It removes the files from storage and closes the link. The limits of the room are fixed when it is created, so upgrading or downgrading later does not change a room that already exists. You can extend a room from its settings, within your plan’s maximum.
Destroying a room by hand does the same thing immediately. It cannot be undone, which is exactly what makes it trustworthy for sensitive work.
Drop Room, upload link or share link?
- Use a group share link when you only need to send a set of files one way.
- Use an Upload Inbox when many unrelated people send you files over time.
- Use a Drop Room when two or more parties need to exchange files in one place, for a limited time.
- Use a Client Portal when the exchange is permanent and you want a branded page for a client.
Drop Rooms are managed from the Rooms section of your cabinet, next to your files, links and inbox.
How to create a Drop Room
-
1
Open Rooms in your cabinet
Sign in (a free account is enough) and open the Rooms section.
-
2
Create a Drop Room
Give it a name, set the deadline, and decide whether visitors can upload, download and must give a name. Add a password if needed.
-
3
Add files and share the link
Attach files from your account or upload them directly. Copy the public link and send it to the people who should join.
-
4
Let the deadline close it
When the time is up, the room and all its files are deleted. Or destroy it earlier yourself.
Frequently asked questions
Is a Drop Room free?
Yes. Every plan, including Free, includes Drop Rooms. The number of rooms, files and the maximum duration grow with your plan.
Do visitors need an account?
No. They only need the link, plus the password if you set one. You can ask them to enter a name.
What happens when the deadline passes?
The public link closes and every file in the room is deleted from storage. This cannot be undone.
Can I close a room before the deadline?
Yes. Use Destroy room in the settings. All files are deleted immediately.
Can visitors see each other’s activity?
Yes. The activity feed is shared inside the room, so everyone sees who uploaded, downloaded, signed or wrote a message. It is a trusted shared space, not a private chat.
Can I ask people to sign a document?
Yes, from the Access plan upward. Visitors confirm they have read the file and agree to sign it electronically. Name, email, IP address and time are recorded. This is a click-to-sign record, not a cryptographic PDF signature.
How is a Drop Room different from a Client Portal?
A Drop Room is temporary and ends at a deadline. A Client Portal is permanent, has a custom address and can be branded.
